Transferring results from SPSS to MS Word is one of those practical tasks that looks simple until you actually try it. Tables get cut off, charts turn blurry, and decimal points shift out of place. For students working on dissertations and researchers preparing reports, getting this right is a small skill with a big payoff. This guide walks through the exact process of copying SPSS output to MS Word while preserving formatting, layout, and accuracy.

Why this skill matters for report writing

A research report is only as credible as its presentation. Misaligned tables, pixelated charts, or manually retyped numbers can raise doubts about the rigour of the underlying analysis. Transferring output correctly from SPSS to Word protects three things at once: data integrity, efficiency, and professionalism.

Retyping numbers from SPSS into Word is a common shortcut that invites transcription errors. A single misplaced decimal in a regression coefficient can change the interpretation of an entire finding. The copy-paste and export methods built into IBM SPSS Statistics eliminate that risk by carrying over values exactly as they appear in the Output Viewer.

Understanding the SPSS Output Viewer

Before copying anything, it helps to know where your output lives. The Output Viewer opens automatically whenever you run an analysis and is split into two parts:

The Outline Pane

This sits on the left side of the Output Viewer and displays a tree-like structure of every item generated during your session – notes, titles, tables, and charts. You can click any entry in this pane to jump straight to the corresponding item on the right. It is also useful for deleting unwanted items before you begin copying. SPSS generates a lot of automatic notes and summary tables that rarely belong in a final report, and removing them here keeps your Word document clean.

The Content Pane

This is the larger area on the right side where the actual tables, charts, and text appear. Whatever you select here is what gets copied to the clipboard. Learning to navigate between the two panes lets you pick out exactly the items you need rather than dumping everything into Word.

Copying text output from SPSS

Text output – titles, notes, and descriptive labels – is the simplest element to transfer. Click the text in the Content Pane so it becomes highlighted with a border. Right-click and choose Copy, or press Ctrl+C. Then switch to your Word document, place the cursor where you want the text, and press Ctrl+V.

If the pasted text looks jumbled or carries unwanted SPSS styling, use Word’s Paste Special feature (found under Home โ†’ Paste โ†’ Paste Special) and choose Unformatted Text. This strips all SPSS formatting and lets you apply your document’s own styles.

Copying tables to MS Word

Tables are where the real choices begin. SPSS offers a regular Copy as well as a Copy Special option, and each produces a different result in Word.

Using the standard copy method

Right-click the table in the Content Pane and select Copy, or use Ctrl+C. In your Word document, press Ctrl+V to paste. When you hover over the small paste-options icon that appears after pasting, Word gives you a few choices: Keep Source Formatting retains the original SPSS look, Match Destination Formatting adjusts the table to match your Word document, and Paste as Picture inserts the table as a fixed image.

Using Copy Special for more control

Right-clicking a table and choosing Copy Special opens a dialog that lets you pick the exact format – usually Picture, Formatted Text (RTF), or Unformatted Text. Each option has trade-offs:

Picture: SPSS converts the table into a static image. The visual appearance, shading, and fonts are preserved exactly, which is ideal when you need a clean final look. The catch is that the table becomes uneditable – you cannot change a value or round a decimal without going back to SPSS and copying again.

Formatted Text (RTF): The table comes into Word as an editable Word table. You can adjust cell widths, change fonts, and edit values directly. This is the most flexible option for academic work where minor edits are common, and it avoids the resolution issues that can make pictures look blurry.

Unformatted Text: The raw numbers and labels arrive as plain text separated by tabs. You get total control over the final appearance but you also have to re-align tab stops to make the table look right. This format is useful under strict style guides like APA formatting for tables, where every element must conform to a uniform visual style.

Copying charts from SPSS

Charts follow a similar process but with a stronger case for pasting as a picture. Click the chart in the Content Pane to highlight it, right-click and choose Copy or press Ctrl+C, then paste into Word with Ctrl+V.

For charts, the Paste as Picture option is usually the best choice because visual fidelity matters more than editability. A bar chart or scatterplot rarely needs its individual data points changed once it has been generated. If the chart looks blurry after pasting, adjust the output image resolution in SPSS under Edit โ†’ Options โ†’ Graphics before copying again. Exporting charts as Windows Metafile format is another option that keeps lines and fonts smooth when you resize the image later in Word.

Exporting all output at once

Copying items one by one works well for a handful of tables, but a full analysis can produce dozens of outputs. For larger jobs, the Export function is faster.

In the Output Viewer, go to File โ†’ Export. In the dialog that appears, set Objects to Export to All Visible, and under Document Type, select Word/RTF (*.doc). Browse to your preferred save location and click OK. According to IBM’s SPSS documentation, this method exports all visible output to a single Word file that you can open and edit as any other Word document.

One note: the exported file sometimes comes through as an RTF file even when SPSS labels it as a .doc. RTF files open in Word without issues but tend to be larger in size. Open the exported file and save it again as a .docx to reduce file size and ensure full compatibility.

Formatting tips after pasting

Once the output is in Word, a few adjustments will make the report look polished.

Resizing tables and charts

Pasted tables or charts often exceed the page width. Click the item to select it, then drag the corner handles to resize while keeping the aspect ratio. For exact dimensions, use the Layout tab for tables or the Format tab for charts and enter specific height and width values.

Handling oversized tables

Large tables with many columns may not fit even after resizing. Change the page orientation to landscape through Layout โ†’ Orientation, or consider placing very large tables in an appendix and summarising the key findings in the main body. The Michigan State University APA tables guide recommends keeping only essential data in the body of a report to avoid overwhelming readers.

Keeping styles consistent

Apply Word’s built-in Heading styles rather than manually bolding section titles. Use the same font across body text, table cells, and captions. A uniform look across the document signals attention to detail and makes the report easier to read.

Troubleshooting common issues

A few problems come up often enough to deserve their own solutions.

Tables look wrong after pasting: Try a different paste option. If Keep Source Formatting produces odd results, switch to Match Destination Formatting or paste as a picture. Sometimes simply re-copying and pasting resolves a rendering glitch.

Text appears jumbled: If tab spacing is misaligned after an Unformatted Text paste, use Paste Special again and select Formatted Text (RTF). You can also adjust tab stops manually using Word’s ruler.

Blurry or pixelated charts: This usually happens when output is copied as a low-resolution image. Increase the output resolution in SPSS under Edit โ†’ Options โ†’ Graphics, or switch to Formatted Text for tables to avoid image-based resolution issues altogether.

Output version mismatch: Make sure you are running a current version of SPSS. The SPSS Statistics release notes list bug fixes that sometimes address copy-paste behaviour across versions of Word.

Choosing the right format for your report

There is no universal best option – the right format depends on where you are in the writing process and what your style guide demands. As a general rule, use Formatted Text for most academic tables where minor edits may still be needed, use Picture for charts and finalised tables where visual consistency is the priority, and use Unformatted Text when a strict style guide requires full control over formatting.

Mastering this workflow saves hours of manual reformatting over the course of a dissertation or report, and it keeps the numbers that matter exactly as they came out of the analysis.
