When researchers want to understand why people behave the way they do, what they believe, or how they interpret their experiences, one method stands out for its depth and flexibility: the interview. Unlike a casual chat with a friend or a quick exchange with a shopkeeper, a research interview is a deliberate, goal-oriented conversation designed to produce knowledge. It has rules, a purpose, and a clear structure – even when it looks effortless on the surface.

What makes an interview a research method

At its simplest, an interview is a method of data collection in which two or more people exchange information through a series of questions and answers. But that definition alone could describe a job interview, a news segment, or even a doctor’s consultation. What separates a research interview is the intent behind it – the researcher is gathering data to answer a specific question, and every part of the conversation is shaped by that goal.

This is why scholars often describe the research interview as a “controlled conversation” that is skewed towards the interests of the interviewer. The word “controlled” is important. In a normal conversation, both people shape where the talk goes. In a research interview, the interviewer steers the direction while letting the respondent speak freely within that direction. The interviewee is cast as the expert on their own experience, while the researcher holds the map.

How it differs from everyday conversation

Three differences stand out. First, there is a clear power asymmetry – the researcher decides what topics matter and when to move on. Second, the interview has a documented record, usually through audio recording or detailed notes, so responses can be analysed later. Third, the conversation is purposeful and analytical; every answer is treated as data rather than just social exchange. As one widely cited description puts it, an interview is “a conversation with a purpose” – warm and human on the surface, but methodical underneath.

The three types of research interviews

Research interviews are usually classified by how much structure the researcher imposes on the conversation. The more structure, the more consistent the data across respondents – but the less room there is for surprise. Most interviews fall into one of three categories: structured, semi-structured, or unstructured, each with its own logic and use case.

Structured interviews

A structured interview is the most controlled of the three. Every respondent is asked exactly the same questions in exactly the same order, with the same wording. The interviewer is almost like a human questionnaire – reading out items and recording replies without deviating from the script.

This format is best when the goal is to compare answers across a large number of participants. Government surveys, market-research questionnaires administered over the phone, and many large-scale social studies use structured interviews because the uniformity produces data that can be counted, compared, and statistically analysed. Questions are often closed-ended, featuring dichotomous (yes/no) or multiple-choice options, which makes structured interviews function largely as a quantitative tool despite being a form of interviewing.

The trade-off is obvious. Structured interviews inherently restrict the participant from speaking freely and limit the richness of data the researcher can collect. If a respondent mentions something fascinating that falls outside the script, the interviewer simply moves on. Depth is sacrificed for comparability.

Unstructured interviews

At the opposite end of the spectrum sits the unstructured interview. Here the researcher walks in with a topic and perhaps a short list of themes, but no fixed questions. The conversation flows wherever the respondent takes it, with the interviewer gently nudging it back when it drifts too far.

Unstructured interviews are the tool of choice for exploratory research, oral history projects, and ethnographic fieldwork where the researcher is trying to understand a world they do not yet fully know. The goal, as one methodological guide puts it, is to find out what kinds of things are happening rather than to measure the frequency of what the researcher already believes. A study on the lived experience of first-generation college students in a rural district, for instance, might begin with nothing more than “tell me about your journey from school to university.”

The strength of this format is that it surfaces the unexpected – stories, meanings, and connections the researcher could never have anticipated. The weakness is that every interview is different, which makes systematic comparison across respondents difficult.

Semi-structured interviews

The semi-structured interview is the middle path, and for good reason it has become the most common format in qualitative social research. The researcher prepares an interview guide – a list of key questions and topic areas – but treats it as a guide, not a script. Questions can be reordered, reworded, skipped, or expanded depending on how the conversation unfolds.

A useful working definition describes the semi-structured interview as a qualitative strategy in which the researcher asks informants a series of predetermined but open-ended questions, giving the researcher more control over the topics than an unstructured interview while avoiding the fixed response categories of a survey. In practice this means the core questions anchor the interview to the research objectives, but the open-ended phrasing invites the respondent to elaborate in their own words.

This balance is why the format dominates fields like sociology, public administration, policy research, and health sciences. It gives the researcher enough consistency to compare themes across interviews while keeping the flexibility to ask probing questions and change the order of questions depending on the participant. A study on how district officers implement a rural employment scheme, for example, might cover the same core themes with every respondent – planning, bottlenecks, community response – but let each officer lead the way through their particular experience.

The interview process

Regardless of which format is chosen, a research interview unfolds through a recognisable sequence. Skipping any of these stages tends to produce thin data or an uncomfortable respondent – usually both.

Preparation and the interview guide

Good interviews begin long before the recorder is switched on. The researcher drafts an interview guide that includes topic headings, open-ended questions within each topic, and probes that can be used to follow up on critical questions. The guide should be matched to the research question, reviewed by methodological experts, and often pilot-tested on one or two participants before fieldwork begins. Logistics matter too – a quiet, comfortable space, reliable recording equipment, and enough scheduled time so the conversation does not feel rushed.

Building rapport

The opening minutes of an interview shape everything that follows. If the respondent feels inspected or judged, the answers will be short, safe, and surface-level. If they feel heard, the answers open up. Experienced interviewers therefore begin with a warm-up question – something the respondent can answer easily and at some length. It need not directly relate to the research topic; its job is simply to get both people talking, reduce nerves, and signal that this is a conversation rather than an interrogation.

Rapport is sustained through active listening – nodding, offering small affirmations, avoiding interruptions, and showing genuine curiosity. Strong rapport leads to richer, more detailed data by helping participants feel comfortable discussing topics they might otherwise withhold. This matters especially for sensitive subjects like caste discrimination, corruption, mental health, or workplace harassment, where trust is the only currency that buys honest answers.

Asking open-ended questions

Open-ended questions are the engine of qualitative interviewing. Instead of “Did you find the training programme useful?” – which invites a single word – a skilled interviewer asks “Tell me about your experience with the training programme.” Phrases like “tell me about” are less likely to elicit only yes or no answers, which do not provide rich data.

The general guidance is to begin with broad, accessible questions before moving to more specific or sensitive ones. A general rule is that more sensitive or difficult questions should be used later in the interview, once the participants have developed comfort and rapport with the interviewer. Starting with a hard question rarely pays off; starting with an easy one almost always does.

Using probes to go deeper

The first answer to a question is seldom the best one. Probing questions are the short, targeted follow-ups that push a surface answer into a richer one. “Can you give me an example?” “What happened next?” “How did that make you feel?” “Why do you think that occurred?” These small prompts are central to the craft of interviewing, and in scholarly literature probes are recognised as a central element of the research interview because they help elicit rich, deep, and detailed data.

Silence is itself a kind of probe. When a respondent finishes a thought, a patient pause often prompts them to continue with something they had not initially planned to share. Beginners often rush to fill the gap; experienced interviewers let it breathe.

Closing the interview

The final minutes matter almost as much as the opening. A good closing question offers the respondent a chance to reflect, add anything the interviewer missed, or ask their own questions. Leaving the respondent feeling empowered and listened to is not just courteous – it also protects the researcher’s reputation in the field, which matters when the same community might be approached for follow-up studies.

Which interview type should a researcher choose

There is no universal best format. The choice depends on three things: the research question, the stage of the study, and the kind of comparison the researcher needs to make later. Structured interviews suit large-sample studies where uniformity is essential. Unstructured interviews suit exploratory phases where the researcher is still mapping the territory. Semi-structured interviews suit almost everything in between, which is why they dominate qualitative work in public administration, development studies, and social policy research.

Whatever the format, the same underlying skills apply – careful preparation, warm rapport, disciplined listening, and the patience to probe beneath the first easy answer. These are the habits that turn a conversation into data worth analysing.
