Spending eight to ten hours hunched over a screen has quietly become the default state of office work. While the laptop has made us more productive, it has also introduced a cluster of nagging health complaints – sore eyes, aching shoulders, stiff wrists, and a fog in the mind that lingers long after the workday ends. For HR managers, these issues are not just personal struggles; they translate directly into absenteeism, lower engagement, and higher medical costs. Building a workplace that protects employees from computer-related health problems is therefore both a duty of care and a smart business decision.

The health concerns tied to prolonged computer use are more diverse than most people assume. They fall broadly into three buckets: visual, musculoskeletal, and psychological. A large review published in the National Library of Medicine describes digital eye strain as a condition marked by dry eyes, itching, watering, blurred vision, and headaches, with non-ocular symptoms including stiff neck, fatigue, and backache. The American Optometric Association estimates that people who spend two or more continuous hours a day on a digital screen are at greatest risk of developing computer vision syndrome.

Musculoskeletal problems form the second pillar. According to the Communications Workers of America’s occupational health research, several features of computer jobs – equipment design, work pace, job repetitiveness, and break schedules – have been linked to rising musculoskeletal complaints. Tendonitis, carpal tunnel pressure, and general back stiffness are among the most frequent grievances reported by long-hour computer users.

Finally, there is the psychological layer. The same research notes that job stress among computer workers often shows up as frustration, anxiety, irritability, depression, and even gastro-intestinal disturbances. This is where HR’s role becomes critical – the boundary between physical ergonomics and mental wellbeing is thinner than it looks.

Why this matters for Indian offices

With the IT-BPM sector, BFSI, and government e-governance initiatives pushing more employees into screen-heavy roles, the country now has one of the largest digitally-working populations in the world. Air pollution, inconsistent workstation standards, and cultural tendencies to skip breaks make the problem sharper here than in many Western offices.

The role of rest breaks in preventing strain

One of the simplest, lowest-cost interventions any employer can introduce is a structured break schedule. The evidence here is unusually strong. A landmark study by the National Institute for Occupational Safety and Health found that when conventional breaks were supplemented with four 5-minute breaks spaced through the day, workers consistently reported less eye soreness, visual blurring, and upper-body discomfort – and crucially, without losing productivity.

The Centers for Disease Control recommends that overall musculoskeletal discomfort and eyestrain drop significantly when twice-daily conventional breaks are supplemented with hourly 5-minute breaks. For HR teams, this translates into practical policy: encourage walking meetings, install break-reminder software, and communicate that stepping away from the screen is part of the job, not a sign of slacking off.

The 20-20-20 rule

For eye health specifically, Cedars-Sinai recommends a straightforward practice: every 20 minutes, look at something at least 20 feet away for a minimum of 20 seconds. It takes almost no time, costs nothing, and dramatically reduces accommodative fatigue in the eyes. Pairing this with a longer break every two hours compounds the benefit.

Designing an ergonomic workstation

If rest breaks are the behavioural fix, ergonomic design is the structural one. A poorly configured workstation quietly injures people day after day, and most employees never realise the root cause of their discomfort until the pain becomes chronic. The University of North Carolina’s environmental health guidance points out that many people don’t realise a poorly designed computer workstation can produce serious health problems like back, neck, and shoulder discomfort, hand and wrist pain, headaches, and eyestrain.

Chairs that adjust to the person

The foundation of any good workstation is the chair. Employees come in different heights, weights, and postural habits – a one-size-fits-all chair will fail most of them. Look for chairs with adjustable seat height, lumbar support, armrests, and at least a five-castor base for stability. Penn Medicine recommends adjusting chair height so that the knees bend at a 90-degree angle with feet flat on the floor or a footrest, while forearms rest on armrests with elbows also at 90 degrees. These angles are not arbitrary – they keep the spine stacked, the shoulders relaxed, and the wrists neutral.

Monitor placement

Monitor positioning is where most offices slip up. Laptops placed directly on desks force users to hunch their necks forward, which is a known driver of cervical pain. The monitor should sit directly in front of the user, with the top of the screen at or just below eye level, and around an arm’s length away. When the screen is too high or too low, the head tilts – and over hundreds of hours, that tilt becomes a chronic complaint.

Keyboard, mouse, and wrist support

Wrist problems usually trace back to mice and keyboards that force awkward postures. Guidance from Princeton University’s health services explains that fingers should align with the forearm and the keyboard should ideally sit just above the lap, so elbows remain bent at 90 degrees or more. A wrist rest can help reduce pressure during typing breaks, but it is not a substitute for proper posture. Ergonomic mice – either vertical or contoured – can relieve users already experiencing forearm or wrist discomfort.

Controlling glare and lighting

Glare is one of the most underrated contributors to eye strain. Overhead fluorescent tubes, sunlight reflecting off a screen, or a white wall behind the monitor can all force the eye muscles into overdrive. The fix is usually simple: reposition the monitor perpendicular to windows, use blinds to diffuse harsh sunlight, swap bright overhead lamps for softer task lighting, and add anti-glare filters to screens that sit in tricky lighting conditions.

Contrast and brightness settings on the monitor itself matter too. A screen that is too dim against a bright room or too bright against a dark one will tire the eyes faster than the work itself.

Addressing vision correction

A large proportion of computer-related eye complaints come from employees whose glasses or contact lens prescriptions are not optimised for intermediate-distance screen viewing. The Scheie Eye Institute at Penn Medicine notes that bifocal and progressive lens wearers often report more CVS-related symptoms because their glasses are not designed for the arm’s-length distance of a computer screen.

HR policies can support employees here in two ways. First, periodic eye check-ups should be included in annual health benefits, with specific mention of screen-use consultations. Second, where feasible, reimbursement for computer-specific glasses – which typically correct for the 50-70 cm intermediate zone – can prevent chronic complaints from escalating.

Indoor air quality and its effect on cognition

Employee health at the computer is not only about eyes and posture. The air people breathe all day has a measurable effect on cognitive performance. A study led by researchers at the Harvard T.H. Chan School of Public Health found that increases in PM2.5 levels were linked to acute reductions in cognitive function and low ventilation rates negatively impacted cognition even among younger adults.

An earlier review summarised in PubMed placed the productivity cost even more concretely: poor indoor air quality in buildings can decrease productivity, with effects on office work performance as high as 6 to 9 percent. In the context of cities battling high ambient pollution – most major Indian metros among them – the question of indoor air moves from nice-to-have to core operational concern. Regular HVAC maintenance, better filters, houseplants where practical, and CO2 monitoring are all measures within an HR or facilities team’s reach.

Smoking and the shared workspace

Reducing workplace smoking is closely tied to indoor air quality. Second-hand smoke drifts into adjacent work areas, compounds existing pollutant loads, and worsens symptoms for employees already dealing with eye dryness or respiratory sensitivity. Enforcing clearly demarcated smoking zones – well ventilated and away from air intakes – is one of the more straightforward policy changes a company can make, and it aligns with India’s Cigarettes and Other Tobacco Products Act framework on public and workplace smoking.

Putting together an HR action plan

Translating all of this into something employees actually feel requires structured action. A practical programme usually combines four elements. First, ergonomic audits – ideally an annual walkthrough where workstations are photographed, measured, and rated against a standard checklist such as the one published by the U.S. Occupational Safety and Health Administration, which includes evaluation material on video display terminals and workstation adjustments. Second, training – short sessions on posture, screen setup, and break hygiene have outsized impact because most discomfort comes from easily correctable habits. Third, equipment provision – adjustable chairs, monitor risers, external keyboards for laptop users, and wrist pads are relatively cheap investments compared to the cost of musculoskeletal medical leave. Fourth, health check-ups – eye exams and musculoskeletal screenings should be bundled into annual health checks for roles that involve more than five hours of daily screen time.

The goal is not to turn the office into a hospital but to weave small, evidence-based practices into the everyday rhythm of work. Over time, they pay for themselves in reduced sick leave, stronger engagement, and employees who can sustain performance through long careers without their bodies giving out.
